Financial Aid Director
Description: The Financial Aid Director reports to the Vice Chancellor for Student Affairs and is responsible for overseeing the College’s financial aid program. This includes assisting students and families with financial aid options and processing federal, state and institutional financial aid applications in accordance with federal, state and college regulations. In addition, the Director is largely responsible for submitting federal and state reporting regulations in a timely manner. The Director also oversees all Veterans and military benefits programs. S/he will be responsible for:
- Coordinating Title Federal Financial Aid Programs (grants, loans, and work study) including but not limited to authorization of funds based on approved criteria for each program, assuring students are not over-awarded, maintaining appropriate documentation which demonstrates the College’s compliance with federal laws and regulations, and assuring that protected information is kept confidential
- Supervising the support staff who work in Financial Aid which includes overseeing the timesheets of classified and unclassified employees and student workers assigned to the Financial Aid Office
- Communicating regularly with the Bursar’s Office and Accounting Department to ensure accurate disbursal of financial aid funds to students
- Ensuring that timely and appropriate communications are sent to financial aid applicants and current students
- Preparation of state and federal reporting requirements including but not limited to FISAP, FADS, and end-of-year closeouts
- Auditing activities that ensure Financial Aid Office policies and procedures are being followed
- Assisting with the outreach and recruitment efforts of the College
- Representing the College at high schools, businesses, and other events as requested by the Dean, VCASA, or Chancellor
- Communicating regularly with the Director of Admissions and Registration regarding student enrollment and academic status
Qualifications:
- Bachelor’s degree
- Excellent written and oral communication
- Computer skills (Banner software experience preferred)
- Higher education experience (financial aid experience required)
The ideal candidate must have a strong knowledge of the federal student financial aid programs and application process, a working knowledge of the software required by the United States Department of Education for processing federal student aid programs, a working knowledge of Microsoft Office and Banner software programs; and be willing to travel and attend training opportunities in order to acquire knowledge of federal and state regulations and must stay abreast of all changes affecting the student financial aid programs. This person must be able to work with the public, communicate verbally and in writing, maintain confidentiality, maintain accurate and complete student records, possess the ability to present a professional image in all telephone and personal contacts, and the ability to meet deadlines and complete projects accurately and on a timely basis.
Excellent communication skills both oral and written; excellent interpersonal skills, ability to work accurately and pay close attention to details; ability to apply critical thinking skills; ability to perform multiple tasks with frequent interruptions, ability to analyze data, forecast and plan, work under pressure, solve problems, accept and implement change.
Essential Tasks:
- Advise and assist students with financial aid applications and other issues and concerns as they arise;
- Coordinate and award financial aid programs to eligible recipients, inform students of missing information, and inform students if they are not eligible for financial aid programs; financial aid programs include, but are not limited to: Federal Pell Grant, Federal Student Loans, the Louisiana TOPS programs, Veterans benefits, etc.
- Collect and process documentation required for “Verification” of a student’s financial aid application in accordance with federal regulations.
- Conduct financial aid informational presentations to special groups, when needed.
- Assist in the management of due dates for various federal and state reports, surveys, etc.;
- Assist in updating financial aid forms, when needed.
- Computer data entry and other related duties as assigned;
- Maintain proper records retention policy and documentation of Financial Aid records storage;
- Assist in maintaining an up-to-date Financial Aid operations manual;
- Attend training workshops and conferences in order to learn and stay current on financial aid regulations and processing;
- Work overtime during peak processing seasons;
- Perform other duties as assigned by the Vice Chancellor for Student Affairs or College Chancellor.
